Translators might have to translate documents containing personal information, particularly in the case of medical texts. That’s why privacy and data protection is important to me. This notice explains what kind of data I collect, what I do to protect them from unauthorized access, and how long I store them. This notice applies to translation and other projects mutually agreed upon by me as the service provider and you as the client. This notice also explains the purpose of cookies that are collected through your access to this website. I am open to signing an NDA or any other confidentiality agreement which you might deem suitable for the purposes of a project.

Who I am

My name is Volkan Dede and I currently operate from Turkey as a freelance translator. I’m obliged to comply with the European Union’s General Data Protection Regulation (GDPR) and Turkey’s Personal Data Protection Law no. 6698. As a freelancer, I’m my own data controller and you can contact me through the contact form on this website.

What information I collect and why

I collect, store, and process your data only for purposes of issuing a quota, provide translation and other related services or comply with the requests of local or international authorities. The kind of personal data I collect may include your name and address, e-mail address, telephone/fax numbers, national ID or tax ID number. As I translate medical texts, such data may also include health information if it is contained in the document I am hired to translate. I do not process or use data for other purposes such as marketing.

Apart from my translation services, this website may also collect cookies, which are small text files that I use to analyze the traffic of my website. Cookies are an integral part of the platform I use, which is WordPress, and you can check their Cookie policy for more information.

My hosting, e-mail, and cloud storage provider may also have access to your personal data. However, these third parties are all entities that are compliant with international data protection laws including EU GDPR.

Legal basis

I only collect personal data if you ask me to, i.e. to provide translation and other related services to you. I do not use personal data for any other purpose. Personal data collection begins from the time you ask for a quote and continues until I fulfill the project and deliver it to you.

The legal basis of my collecting special categories of personal data such as health information is your explicit consent with regard to its translation, revision, post-editing, and other services which you ask me to perform.

Sharing of data with other parties

If the scope of the translation service includes the review or editing of the translated text by another party, the text will be anonymized so that it will not contain any personal data.

Other parties may have access to your data, including my hosting provider, e-mail service, cloud storage provider, or online services that are agreed to be used in the translation, including computer-assisted translation tools or machine translation engines. These parties are all compliant with international data protection laws including GDPR. I do not use any online resource that will have access to part or whole of your data unless specifically asked (e.g. post-editing services, where I will need to use machine translation engines in which case the MT provider’s terms will apply).

How long I store your data

I store different types of data for different periods:

• Quotes will be deleted after six months.
• For translation and other services, I will keep the data for five years for tax purposes. If such data is contained in a translation, they can be stored for up to 10 years in order to maintain my personal translation sources including translation memories, in which case the data will be anonymized so that it does not contain any identifiable personal data.
• E-mails including requests from the contact form will be deleted after five years.

How I secure your personal data

I use reliable service providers for e-mails, cloud storage, etc. If applicable, I use advanced protection such as two-step verification so that there will never be unauthorized access to data I store. I use a home network and keep my computer locked at all times. If requested, I work offline without referring to any online resources.

Your rights in relation to personal data

Under the GDPR and Turkish Data Protection Law no. 6698, you have the rights to request:

• A copy of the personal data belonging to you
• Rectification of such personal data
• Erasure of such personal data

I will take your requests into action without undue delay within no later than one month of receipt of your request. I may have to take longer time if the data in question is required to be stored for a certain period of time for administrative reasons or if the data in question reveals personal data about another person.
